This position is located in the Scanning and Record Retention
Section of the Secretary's Bureau and is responsible for the quality,
accuracy and completeness of the scanned product. Specific duties are
Responsible for the maintenance and care of scanning and microfilm equipment:
The ability to calibrate cameras and reader printers. The ability to read and
calibrate densitometer. The ability to program the IMT.70 and IDW2000
workstations. The ability to change Exposure lamps and lenses. The ability to
use Kofax Scanners.
Input closed case docket numbers on computer to generate charge-out cards and
to return cards as appropriate.
Generate, from InfoMap, a retrieval record for each case prepped.
Review and prepare files for scanning, checking contents of file against
sheet for completeness. Place documents in each folder in chronological
sequence, removing staples, paperclips, and bindings so that each sheet is
free from the others. Cut or tape tears or creases to provide smooth,
flat sheet that will pass through the scanning. Use appropriate separator
sheets. Upon completion of the file, attach "prepped" label to
folder, initial and return file to appropriate box. Attach
"prepped" label to outside of box when completed. Initial
label certifying that all are complete and each file in the box is ready for
Scan prepared cases, cleaning lens before use and loading documents in
appropriate order. Briefly examine folders for proper prepping, return
inappropriately prepped files to the person who prepped them
originally. Log docket number on index sheet along with type of folder,
batch number, and dates of various orders. Check scanned documents to
assure proper functioning. Stamp "SCANNED" on each file scanned and
on the outside of the box when completed. Log number of images filmed
daily on appropriate sheet.
Index scanned cases on InfoMap giving case location by batch and docket
Destroy files indexed on computer when instructed by the supervisor.
Check each file against index listing. Check for "SCANNED"
stamp on file and box. Destroy in numerical order. Make necessary
changes on index sheet and in computer when a problem is detected.
Pulls monthly closed files. Boxes and labels them appropriately.
Pulls closed files waiting to be scanned as historical documents requested by
the Record Retention Section.
Submit appropriately completed, legible "Daily Activity Report" to
supervisor at the end of each work day.
Perform other duties as assigned.
Ability to read both printed and hand-written material.
Ability to compare file content with listed materials to be contained in the
Ability to sit for long periods of time (1-2 hours).
Ability to lift boxes weighing up to 35 pounds.
