THE POSITION:

DESCRIPTION OF WORK:

This position is responsible for assisting the Bureau of Investigation and Enforcement (I&E) Bureau Director, the Safety Division Manager and the Damage Prevention Enforcement Supervisor (Supervisor) in a variety of administrative work and details. The work involves analyzing operations and procedures; gathering and providing information to prepare forms, notices, reports, etc. Public contact is required in accomplishing several assignments. Detailed knowledge of the organization, functions and procedures of the Bureau is required.
Assists the Manager in planning, organizing, and implementing the administrative functions for the Damage Prevention Section (DPS) as follows:

Track incoming Reports of Alleged Violations (ROAVs), assigning case numbers for each report and logging them into the Electronic Case Management (ECM) system;
Mail notification letters to involved parties indicating that ROAVs have been received;
Forward all ROAVs to the Supervisor within two business days;
Log recommended findings and dispositions approved by the Supervisor into the ECM system;
Mail Notices of Violations to the alleged violators explaining the Commission findings, dispositions and further actions to be taken;
Assign cases to Damage Prevention Committee (DPC) docket numbers;
Close case in ECM system and notify all parties involved;
Create case in InfoMAP for all cases referred to I&E prosecutory staff and close case in ECM system;
Prepare various statistical and budgetary reports;
Assist the Supervisor in establishing and scheduling in-house and external training for the Damage Prevention Investigators and DPC members;
Assist the Supervisor in the preparation for and conduct of DPC meetings by compiling all necessary documentation and electronic support, preparing agendas, minutes and meeting summaries and performing such other tasks as may be directed;
Respond to inquiries by finding the appropriate case, discerning its status and explaining the steps and time frames necessary for its completion;
Assist in preparing the Section's budget, goal and objectives and monitoring progress during the year;
Manage office inventory, procure supplies, space allocations, office equipment and telecommunication requirements;
Administer all training requests and assignments. Review training requests for job relatedness and availability of funds. Coordinate training with training officer in Human Resources. Maintain training records for DPS employees;
Maintain office computer inventory and act as liaison with the Bureau of Administration Management Information Systems concerning purchase, distribution and maintenance of computers and related equipment;
Manage the use, assignment and maintenance of DPS-assigned vehicles;
Prepare various reports as assigned or requested in areas of operation, training, travel, etc.;
Perform related work as required.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY:

Eligibility - all candidates

1. Six months as a Clerk Typist 1
and educational development to the level of eighth grade;

                        or

Completion of high school business curriculum which included at
least one typing course;

                        or

Any combination of equivalent experience and training.

2. Be a resident of Pennsylvania.

3. Be eligible for selection in accordance with Civil Service rules.
